System Mileage Calculations
The system will only recognise the mileage and distance a Worker has completed if contained within the same Shift. The system works by calculating travel between Visits, based on Pinpointed Client or Location addresses, contained within the Shift. The Business Manager calculations do not include travel to the first Visit or from the last Visit. Therefore, if for some reason a Worker has 2 Shifts in their schedule but in reality does not return home, this method would be inappropriate
- Ensure that all Visits have been confirmed for the required period
- Use the Unconfirmed filter to verify this
- Navigate to Bookings > Work with Shifts and set the Date Range to match the required period
- Sort the screen by Worker, by dragging the Worker Column to the Drag a Column header here box. You can use this method to run mileage against specific workers by highlighting just all their Visits, which will now all be grouped together
- Use the Shift key on your keyboard to select all Shifts with a Standard Shift type
- Click the top record, hold down the Shift Key, then click the bottom record, all selected turn blue
- Click the Calculate Travel button
- Click on any Shifts in the left hand pane to see a map of the route taken. Details of the mileage and travel time are detailed under the map
- Select what information you would like to apply to the Visits by using the Update Distance and Update Travel Time check boxes
- Make sure you select the travel type you wish to pay or charge from
- Click Update
- The travel information is now recorded in the Time Sheet Tab of the Visit Properties
- View Visit Properties by double clicking on a Visit
- This information will be used when running pay or invoicing modules and will calculate using the monetary values held in the Pay or Charge Rates
- Values will appear at the bottom of pay advice as Mileage (for distance) or Travel (for travel time)
Note: This method of calculating Mileage will literally calculate from one Visit, to the next Visit, to the next within the same Shift. Mileage cannot be calculated across Shifts. This method also make no allowances for the amount of time that is in between Visits.
