Using Write Back to Care Plan and Turning Off the Message
We have explored the various ways of entering care plans into the system. The main point to take from this is that eventually you will end up with a separate line for each entry of care, leaving space for a separate Preferred Worker to be allocated when the rota is produced.
As we have seen, using the Write Back to Care Plan functionality is one way to this. This method allows care to input as a single line in the Care Plan Planning Screen with the Write Back to Care Plan message prompt used to separate these out into separate lines once you allocate the Visits in the Visit Schedule
The Write Back to Care Plan message can save you a lot of time. It allows you to apply changes to the Schedule to the Care Plan too, meaning it will permanently change going forward. However, the incorrect use of the functionality can change your Care Plans into state that you do not want meaning that the message can be your best friend but also your worst enemy if used incorrectly.
Usefully, the system allows for the Write Back to Care Plan message to be turned off for individual users who perhaps have no need for it. Follow the steps below to see how to do this
- Log into the system using the credentials of the user for whom you would like to turn off the Write Back to Care Plan functionality. This user should not be marked as a Supervisor on the system
- Navigate to Settings > Application Settings. A message appears saying you need to restart the system if you make any changes. Click OK
- A list of system setting is displayed. The option we are looking for is called Visit.ApplyChangesToCarePlan. You can search for it using the box at the top of the screen if you wish
- Alter the Value column next to Visit.ApplyChangesToCarePlan to ‘False’ by overtyping.
- Conversely, you can turn it back on again by changing the Value back to True
- Click out of the box you are typing in to save the entry
- Restart the system – the message will no longer appear when making changes to the Visit Schedule. Nothing will ever be written back to the Care Plan.
Note: Using the Write Back to Care Plan message is a valid method of entering new Client’s Care Plans. It can save a lot of time, specifically if the Client receives several Visits per day.
One recommended method is to create a system login specifically for entering Care Plans in bulk and then splitting them out using this method (please see the previous article if this concept seems strange). With this login the Write Back to Care Plan message is turned on but for all other users it remains off. This protects the integrity of the system and if combined with a business process whereby users know this is the case, and how to alter care plans if they need to, it can be really powerful.
