Timeline and Other Dashboards
The Dashboard section is aimed at giving snapshot view of event occurring across the business. For those of you unfamiliar with the Dashboard area, it’s a tab in the left hand menu usually housed towards the bottom of the list, although its exact placement depends on other modules you have installed.
Inside the Dashboard section you will find five areas. ECM, Financial, Mobile, Rostering and Timeline.
The first four are designed to provide quick view information and allow you to investigate certain aspects, whereas the Timeline provides an alternative to the data-orientated way of rostering via the Visit Schedule screen. The Timeline is drag and drop, meaning that you can simply pick up and drop Visits onto another worker to reallocate that Visit. Visit lengths can also be altered by dragging the side of the Visit ‘box’ to either extend or shorten it.
- Timeline – The Timeline offers a visual view of one particular day. Navigate to Dashboard > Timeline and set the day you want to see in the top right hand corner. Then click the Filter button. Select the workers you wish to see on the screen and then click the ‘Back to Timeline’ button in the upper right.
By default, the Shifts are in green and the Visit inside them in blue. As mentioned, this screen is drag and drop, which you can use to reallocate Visits to other members of staff or to amend the times of Visits. You can always access the Properties of a Shift or Visit by double clicking on the relevant area, and you can right click to Confirm Visits just as you would in the Visit Schedule.
To customise the colour scheme of the Timeline, go to Bookings > Visit/Shift types. Each entry has the option to choose a colour which is the colour that will appear on the Timeline
- ECM and Mobile – A screen collating information from either you Electronic Call Monitoring solution or from Mobile Care Worker respectively. Select a date range in the top right corner and the statistics show will change. Items shown are Missed Visits, Late, Early, Under Length and Over Length Visits. Click on any tile to display a list of the Visits that fall under that heading. You can also use the dropdowns in the top left corner to filter by Contract or Group
- Rostering – Shows the number of Unfulfilled (Visits in the system that are now in the past which were never allocated) and Unallocated (Visits in the future which are not allocated). Select a date range in the top right hand corner to display. The bottom half of the screen shows a bar chart displaying the statistics mentioned. You can click on the bars themselves to display a list of Visits that fall under that heading, which you can Allocate and enter visit properties from. You can also use the dropdowns in the top left corner to filter by Contract or Group.
- Financial – If the Pay and Invoicing modules are used, can show you a breakdown of costs and profit (with margin) over a date range. Select the date range in the upper right corner
Note: One caveat to note with the Timeline is that once you move Visits around, the rota is altered in real time. It is good practice to plan your reallocation before actively moving Visits. Unfortunately there is no ‘undo’ button.
