Manipulating Shifts
System Users can often get very focussed on manipulation of Visits, and for good reason! The Visits are the care that will actually be provided in the field and so there is a natural draw to places like the ‘Work with Visits’ screen so that users can make sure all care has been dealt with correctly.
However, there are some useful features within with Work with Shifts screen that we will look at in this article.
The Work with Shifts screen is found under Bookings > Work with Shifts. It’s very similar to the Work with Visits screen in that it runs from a Date Range and shows a list of all Worker Shifts between that period. The bottom pane of the screen shows a visual of any Visits with a Shift that you select.
- One useful feature of the Work with Shifts screen is the ability to Add a Visit. This works the opposite way round to the Visit Schedule, where you select a Visit, then see who is available to be allocated to it. Here, the system looks at the remaining availability in the Shift and check to see if there are any Visits that could fit within it.
To do this, simply right click on a Shift, or select the Shift and right click in the pane at the bottom showing a visual graphic of the Visits already in the Shift. Select ‘Add Shift’ from the menu that appears. A list of all Visits that the Worker could also complete during that Shift is displayed. Select a Visit to add it to the Shift and allocate that Visit to the Worker.
- Transferring Visits can also be a really useful tool. Imagine that a Worker was to call in sick and their entire shift needed to be given to someone else. If you right click on the shift containing today’s Visits (in this example), then hover over ‘Transfer’ in the menu that appears, the system will show you a list of Shifts and the name of the Worker that the sick Worker’s Visits could all be transferred to as a whole.
- Right clicking in the pane at the bottom of the screen allows you to show the mileage and route for the Visits within the Shift, select ‘Show Route’ in order to do this. Be aware that all Client addresses will need to have been Pinpointed in their General Details screen in order for this to work.
- Adding Ad Hoc Shifts from this screen is also possible, simply click New and enter the details accordingly
