Creating and Editing Your Document Structure
Available From: Care & Clinical version 8.0
If your user profile has Modify permission for Resident Document Structure you can access and edit this feature via Admin > Resident Document Structure. Once your structure is set up, the wider team can upload documents for residents within any of the Tags that have been set up.
Tag Groups
Create a New Tag Group
Selecting the Create new tag group button will display a new blank Tag Group Header at the top of the page. You can then type the name of the Tag Group Header you wish to create and select Create. Once created, Tags can be added to the Tag Group.
Rename an Existing Tag Group
Selecting Rename against a Tag Group will allow you to edit the title of that Tag Group. Once edited and saved, the date the title was updated will display against the Tag Group.
Note: Once changed, the new name of the Tag Groups will be reflected within the Resident Document page under Documentation.
Reorder Tag Groups
Tag Groups can be re-ordered by dragging the three bars against the Tag Group and placing them before or after another Tag Group on the page.
Note: Once re-ordered on the Resident Document Structure page, the same order will be reflected within the Resident Document page under Documentation.
Deleting An Existing Tag Group
Note: It is not possible to Delete a Tag Group if one or more documents are assigned to any of the Tags within the associated Tag Group. In this instance the word "Delete" will appear in grey font and not in red. Hovering over the word delete will explain the above.
Tags
Add a New Tag
To add Tags within a Tag Group, select Add a tag against the relevant Tag Group, type the title of the Tag in the Add Tag window and select Save.
Note: Multiple tags with the same name cannot be created within one Tag Group.
Rename an Existing Tag
Selecting the pencil icon in a Tag within any Tag Group will allow you to edit the title of the Tag. Once edited and saved, the updated date will display when the (i) icon against the Tag is selected.
Note: Tag Groups and Tags can be edited regardless of whether there are documents attached to the Tags.
Reorder Tags
Tags in each Tag Group can now be re-ordered by selecting the Reorder link within the relevant Tag Group. Once selected, the Tags available within that specific Tag Group will display as a list allowing you to drag the three bars against it and placing them before or after another Tag.
Note: Once saved, the re-ordered Tags will be reflected on the Resident Document Structure page against the specific Tag Group.
Delete a Tag
Note: It is not possible to Delete a Tag if one or more documents are assigned to the associated Tag. In this instance, the (x) icon will be replaced by an (i) icon explaining this.
