Using Barcode Scanner with Medication Management
Only medication supplied by your pharmacy may include a barcode on the dispensing label that can be scanned. Medication supplied from hospitals / brought from home will not have a barcode on the dispensing label. For these medicines, barcode scanning is not possible and the medicine should be managed in the eMAR system manually.
When to use the Barcode Scanner?
When booking in Medication via Monthly Check In or Interim Check In.
Monthly Check In:
- From the Home Screen, click Monthly Check In
- If a Monthly Order has already been started the system will alert you to this, check to ensure that you are not duplicating work already commenced
- Click No to start a new monthly order or Yes to continue with a current one
- Select the appropriate Trolley
- Scan the dispensing label of the medication you wish to book the medication for with the Barcode Scanner
- Ensure all quantities are entered using a decimal point e.g. 28.0
- Once you have entered the correct quantity, click OK
- The item checked in will now be displayed in the Monthly Check In Meds received list
- If any errors have been made, the red cross can be used to remove the item and the process can be repeated
- Repeat steps 5-7 for all remaining medications and residents
- Click Save after each resident
- Once the Monthly Check In is complete click Finished
Interim Check In:
- From the Home Screen, click Interim Check In
- Using the drop-down menu, select the Source from which the medication has been received
- Click OK
- Scan the dispensing label of the medication you wish to book the medication for with the Barcode Scanner
- Ensure all quantities are entered using a decimal point e.g. 28.0
- Once you have entered the correct quantity, click OK
- Repeat steps 4-6 for all remaining items from this source
- If you have additional medications to be received from a different source, this can be completed now by changing the source - use the drop down source menu located in the top right of the screen
- When you have completed the process for all medications received, click Done in the bottom right of the screen
When disposing of Medication via Drug Disposal.
Drug Disposal:
- From the Home Screen, click Drug Disposal
- The drug disposal process is a fully witnessed activity, as such you will be prompted to complete a Witness Logon
- The witness should complete the Username + Password sections and then click OK
- Scan the dispensing label of the medication you wish to complete a Disposal for with the Barcode Scanner
- Check the Disposal Date + Time
- Enter a Method
- Enter a Reason
- Enter the Quantity you wish to dispose
- Add an appropriate Comment
- Review and complete all fields
- When you are satisfied that all data is correct click Save
- The disposed medication will appear in the Disposed Meds summary at the bottom of the screen
- Repeat steps 4-11 for all remaining medications and residents
When administering Medication via Med Round.
Med Round:
- From the home screen click Med Round and select the round time you wish to complete from the drop-down menu
- From the Resident Selection screen, click on the resident you wish to complete medicine administration for
- Review and understand the residents profile on the left of the screen – Diagnosis, Allergies, Information and Medication Orders
- Identify and prepare the medication in line with your local policies and procedures
- Once you have prepared your medication for administration, scan the dispensing label of the medication
- A green tick will appear as confirmation
- Repeat step 5 for all scheduled and PRN items required
- After the medication has been taken or refused/withheld click Next
- From the Review/Recording Screen review all information, any exceptions are recorded using the drop-down menu at the right of the screen for each item
- Ensure all information is reviewed and required information is completed
- Once all information has been recorded accurately, click Record All
- The system will now prompt for final confirmation of the residents Med Round. If you are satisfied click OK
- Once confirmed, this record can only be edited by a system administrator
- The system will now return to the Resident Selection screen
For carry forward stock to still be processed using barcode scanning this entry must be merged with any new orders and not discontinued.
If medication has been received but data has not, the barcode will not be available. The resident must have a Pharmacy ID in their profile to receive data from their pharmacy.
